Systems integration links separate software systems so they share data automatically. A customer created in your CRM appears in your accounting system. A payment recorded by finance shows on the customer's record in sales. A report updates itself, without anyone exporting a file. It differs from data migration. Migration moves your data once, into a new system, and then it ends. Integration is a permanent connection between systems that both stay in use. ## What is disconnected software really costing you? Disconnected systems don't fail loudly. Learn more ## When is a ready-made connector enough? Many tools come with a ready-made connector, and for simple cases that is the right choice. Connecting a single mailbox to a CRM, for example, rarely needs a consultant. Custom work pays off when the case is more complex: several mailboxes and permission rules, invoices that must follow local tax law, or a process that spans three tools instead of two. If a connector covers your case, we will tell you and save you the cost. Integration connects systems so data moves between them. Automation uses that data to do something, such as creating an invoice when a deal is won. Most projects need both: the connection first, then the automation on top of it. ### Can't we just use a tool like Zapier, Make or n8n? In simple cases, yes. But even with these tools, some integrations are tricky, especially when they involve calculations, data transformation or a process across several systems, which ready-made tools don't handle easily. They are also not always cheaper. We start from your case and recommend the simplest, most cost-efficient solution, whether that is one of these tools or something built for you. ### Which systems and platforms can you connect? Most modern business systems: CRMs, ERP and accounting software, spreadsheets and BI tools, email and chat, document storage and workspaces. If a system offers a way to connect, such as an API, webhooks or file exports, we can look at it. We are not tied to any one platform, so we start from the tools you already use. Send us your case, describe your systems and what should happen between them, and we will tell you what is possible. ### Can you connect a system that has no ready-made connector or API? It is much harder. Modern integration works with cloud-based applications and their APIs, and without one there is often little to connect to. Some cases have another route, such as file exports or access to the database, but these are less reliable and not always possible. Send us the case and we will tell you honestly whether it can be done. If it can't be done reliably, we will say so. ### Does the data need to move in real time? Usually not. A sync that runs on a schedule, even every hour, is more reliable and cheaper to maintain than real time, and a few minutes of delay rarely affects a business. Where real time is truly needed and both systems support it, we can do that. ### Can my reports update automatically, without exporting files? Yes. We connect your CRM and other systems to Excel, Google Sheets or BI tools such as Power BI, so reports refresh on their own and nobody exports a CSV by hand. ### How long does an integration take? Usually less than you would expect. Simple integrations are often ready in one to three business days. More complex ones take longer, depending on the number of systems, the complexity of the rules and how quickly we get access and decisions from your side. We give you a timeline after discovery, so you plan with real dates. ### How much does an integration cost? Our approach is to recommend and build the most cost-efficient solution that does the job, not the biggest one. In most cases we keep the upfront cost low and charge a relatively small monthly fee, which covers hosting, managing and reviewing the integration, much like a software service. The exact figures depend on the number of systems, the complexity of the rules and your requirements, so we look at your case first and give you an estimate after discovery. ### Who looks after the integration after it goes live? We do. In most cases we host the integration ourselves and manage it, so there is nothing for you to install, run or maintain. We monitor it, review it regularly and deal with problems when they appear. Your team keeps using the connected systems as before. ### What happens if something fails? We find out, and we deal with it. Every action the integration takes is logged, and we are alerted when something needs attention, so problems are found by the system and handled by us, not discovered by your customers. If a decision from your side is needed, we tell you. ### Is my data safe? Each connection gets only the access it needs, and credentials are stored securely and never written into the code. In most cases we don't store your data on our servers at all: it passes between your systems and stays there. The exceptions are when you ask us to keep data, or when the project strictly needs it. We can also adjust the level of security and privacy to what you need, including stricter rules where your business or sector requires them. ### What if we want a specific solution that we host and own ourselves? That is possible. It is a different kind of project: a custom build that runs on your own infrastructure and belongs to you. It usually means a bigger upfront cost, a longer development time and a different cost structure from our hosted service. We are open to it.
